Marketing Assistant

We are seeking a Marketing Executive Assistant to support members of our leadership and executive team in a fast-paced, highly creative environment. The ideal candidate will have an extreme attention to detail as well as the ability to multi-task and juggle priorities. The role requires someone who is articulate and professional, highly organized, and who can successfully function in a role which organizes a growing company and its busy leaders. A positive attitude and excellent communication skills are a must!

This position will solidify your knowledge of all critical areas of a marketing and creative agency while being the right-hand of agency leadership at companies MODintelechy, a B2B lifecycle marketing and technology activation agency, and Four Wings Marketing, a creative, digital marketing agency.

This is a hybrid role, and the individual must be located in Austin, Tx.

Responsibilities:

Clerical tasks & support:

  • Office upkeep (watering plants, sorting and sending mail, ensuring a presentable and organized space, etc.)
  • Coordinating on-sites as needed (i.e., meals and location bookings)
  • Completing forms and assisting in maintaining various databases
  • Provide regular updates on the status of ongoing projects
  • Schedule meetings both internally and with clients

Executive Support:

  • Administrative and personal support of members of our leadership team
  • Find opportunities for and assist with media relations (blog, podcast, digital journal publications, etc.)
  • Ensure documents are updated, properly filed, and easily accessible for executives
  • Assisting executives with ad-hoc duties (personal and professional)

Marketing Support:

  • Conduct research to identify industry trends, competitors, ideal profiles, and target markets
  • Assist with developing presentations for new business and client briefing
  • Coordinate and communicate with company management, clients, creative + account team, and vendors
  • Assist with brand and product shoots (as needed)
  • Screen phone calls and provide info to prospective clients
  • Follow up with clients and vendors through email, phone, or in-person regarding ongoing projects
  • Copywriting, social media and other creative tasks as needed

More duties as needed.

Requirements:

  • A positive, can-do, team-player attitude is a must
  • Understanding of basic business operations
  • Experience working in a fast-paced, challenging environment (experience in a marketing agency is a plus)
  • Assistant experience is a plus
  • Ability to handle confidential information with sound judgement
  • Excellent written and verbal communication + time management skills
  • Strong attention to detail and commitment to organization
  • Experience with digital tech such as Microsoft Suite (Outlook, Word, SharePoint, Excel, PowerPoint)
  • Experience with SquareSpace, Canva and Adobe Software is a plus
  • Reliable transportation and a vehicle are a MUST
  • Demonstrated ability to quickly turn around projects with polish and accuracy
  • Ability to juggle multiple priorities without getting overwhelmed
